To comply with legal obligations: If you apply to be an event volunteer or work for us as a contractor, we will need to record and store your personal information in order to comply with various employment and tax legislation.

Legitimate interests: We may need to conduct due diligence checks on potential and current supporters or funders to determine if they have been involved in fraud. By processing your personal information for this reason we are not harming your own rights and interests.

Consent: If you have checked the appropriate consent tickbox or otherwise communicated your explicit consent, we may process your personal information for the purposes covered by the specific consent that you have given, such as sending you emails about our services, events and marketing.

Where we process sensitive personal information, we will make sure that we only do so in accordance with one of the additional lawful grounds for processing such as with your explicit consent.

Keeping your data safe

We take steps to ensure all your personal information is safe and secure, and that all staff are aware of and comply with their responsibilities in relation to the EU General Data Protection Regulation and the Data Protection Act 2018. For example:

Sharing your data

We will never disclose personal information to any third parties, without your explicit consent, other than for legal reasons or to data processors carrying out work on our behalf and working with us to provide a service. This can include email delivery, website hosting and analytics, payment processing and audience surveys.

These data processors are given access to the personal information needed to perform their functions but are restricted from using it for other purposes. We require them to comply with data protection regulations and we monitor them to ensure their compliance. Some of our partners have servers located outside the EU which means that when we collect and process your personal information via their service, your data is transmitted between the UK and a non-EU country. We will take steps to ensure your privacy continues to be protected in line with EU General Data Protection Regulation and the Data Protection Act 2018.

If our business is sold we will transfer your personal data to a third party: in the event that we sell or buy any business or assets, in which case we will disclose your personal data to the prospective seller or buyer of such business or assets (at all times in accordance with all applicable data protection laws); or if Wildscreen or substantially all of its assets are acquired by a third party, in which case personal data held by Wildscreen about its clients (including those individuals who work for and on behalf of our clients) will be one of the assets transferred to the purchaser, in each case, the legal basis on which we process your data in these circumstances is our legitimate interest to ensure our business can be continued by a purchaser. If you object to our use of personal data in this way, the relevant seller or buyer of our business may not be able to provide services to you.

In certain circumstances we may also need to share your personal data if we are under a duty to disclose or share personal data in order to comply with any legal obligation.

Why do we use cookies?

When you interact with us through our websites or by reading our emails we and third parties may collect information by using cookies. We do this for three reasons:

To provide you with the service you’ve asked for: For example, we set a cookie when you have logged into your web account on our websites so that the site remembers you and you don’t have to repeatedly log back in every time you visit a new page.

To analyse and improve your experience: We want to know what web pages and content are popular and what types of people are interested in them so that we can improve our sites.

To provide you with adverts that are relevant to your interests: We use Google Adwords to promote our websites with adverts that show alongside Google search results. You may be shown adverts tailored to you based on the pages you’ve viewed during previous visits to our websites.

You have the right to decide whether to accept or reject cookies and can control and/or delete them as you wish. Note that if you choose to reject cookies, your access to some website content and functionality may be restricted. For further information, see our Cookie Policy.

For how long do we store your data?

We will not retain your personal information for any longer than we need to use it in accordance with this policy. Unless we tell you otherwise (or you make a request for erasure), we will keep your personal information for as long as we have an active relationship, or you continue to want us to keep in touch with you.

Note that even if you request that we erase your data, we may still be required to keep it, or may keep it in a form that doesn’t identify you, for the performance of a legal obligation such as financial records.

Once we no longer need to retain your personal information, it shall be deleted. Therefore, the rights to access, erasure, rectification and data portability cannot be enforced after the expiration of the retention period.

Third party websites

Our websites might contain links to websites belonging to third parties and we sometime choose to participate in social networking websites such as Twitter and Facebook. This privacy policy does not extend to these third party websites and we do not have any control over their privacy practices. It is your responsibility to make sure that, when leaving our websites, you have read and understood the other website’s privacy notice.

Cookie Policy

What are cookies?

A cookie is a small text file that a website saves on your computer or mobile device when you visit the site. It enables the website to remember your actions and preferences (such as login, language, font size and other display preferences) over a period of time, so you don’t have to keep re-entering them whenever you come back to the site or browse from one page to another. It can also measure how the website is being used and by how many people. It cannot be used to identify you personally.

Cookies set by the website owner (here, Wildscreen) are called “first party cookies”. Cookies set by other parties are called “third party cookies”. Third party cookies enable third party features or functionality to be provided on or through our site such as social haring buttons, advertising and analytics. The parties that set these third party cookies can recognise your computer both when it visits our websites and also when it visits certain other websites.

In addition, cookies may be either ‘session cookies’ or ‘persistent cookies’. Your device will automatically delete session cookies when you close your browser. Persistent cookies will stay on your device until the expiry date specified in the cookie itself is reached.

How do we use cookies?

Some cookies are required for technical reasons in order for our site to operate, and we refer to these as “strictly necessary” or “functional” cookies. Other cookies also enable us to track the interests and behaviour of our visitors for future site improvements. Third parties serve cookies through our site for advertising, analytics and other purposes.
We use both session and persistent cookies.

Note on Google Services

We use Google Analytics, a web analytics service provided by Google, Inc. (‘Google’). The information generated by its cookies about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purpose of evaluating your use of the website, compiling reports on website activity for Wildscreen and providing other services relating to website activity and Internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google’s behalf. Google will not associate your IP address with any other data held by Google.

We have also implemented Google Analytics features based on Display Advertising (Google Analytics Demographics and Interest Reporting). You can opt-out of Google Analytics for Display Advertising and customise Google Display Network ads using one or both of the opt out links listed above. This uses Google’s third party audience data, such as age, gender and interests, with Google Analytics which we will use to develop the website and content around your interests.

We also make use of Google AdWords in order to promote our website. If you visit certain pages on our website soon after clicking one of our ads displayed in Google search results, both Google and Wildscreen will be able to tell that your visit was a result of a click on one of these ads. If you do not wish for your visit to be tracked, please do not click on Google Ads.

For further details on the cookies set by Google Analytics, please refer to the Google Code website or refer to Google Analytics privacy overview.

How can you control cookies?

You have the right to decide whether to accept or reject cookies and can control and/or delete them as you wish – for details see www.allaboutcookies.org. You can delete all cookies that are already on your device and you can set most browsers to prevent them from being placed. The third parties also allow you to manage their cookies independently via the links above. If you choose to reject cookies, you may still use our website through your access to some functionality and areas may be restricted.

Note that you can opt-out of many network advertising programs that track your browsing habits via cookies with the Network Advertising Initiative (NAI) Opt-Out Tool. It shows you which advertising networks have placed cookies on your computer, and lets you opt-out of being tracked by them, should you wish to do so. Opting out of a network does not mean you will no longer receive online advertising. It only means that the network from which you opted out will no longer deliver ads tailored to your web preferences and usage patterns.

If you have any questions regarding the use of cookies on Wildscreen’s websites, please contact us.
