Event policies

Wildscreen events exist to bring people together to share ideas, democratise natural world storytelling and to connect with other storytellers from accross the globe.

Our events have always been more than the talks, sessions, workshops and screenings , and wouldn’t be complete without the networking events and parties that go on into the early hours.

The Wildscreen team collaborate with our partners and work hard to make these events special, fun and safe for all our delegates.

We would appreciate you working with us on this by taking the time to read the important information outlined below.

Event Code of Conduct

Wildscreen is a reputable charity and advocates for good work, respect, and well-being in the industry it serves, and naturally expects our people and those acting on behalf of, working with or representing the Charity to always promote and maintain high professional and personal standards and behaviours.

Wildscreen is committed to conducting its business in full compliance with all applicable laws and regulations and achieving exceptional corporate and social responsibility standards.

It is impossible to spell out every possible ethical scenario we might face; however, we rely on one another’s good judgement to uphold a high standard of integrity for ourselves and the Charity, and as such, we expect all staff, attendees and programme beneficiaries to be guided by both the letter and the spirit of this Code of Conduct. 

If you see something that you think isn’t right – speak up.

All Wildscreen event attendees and members are expected to always act in a considerate manner and follow these guidelines to ensure a positive experience and respectful environment at all Wildscreen in-person and online events.

Wildscreen will not tolerate any disrespectful behaviour that could bring the organisation into disrepute, including, but not limited to:

    • The use of abusive language related to religious beliefs, race, ethnicity, physical appearance, disability, sexual orientation, age, gender, gender identity and expression
    • The use of offensive or sexualised materials, images or content on social media or within the venue of the event
    • Stalking or aggressive and harmful behaviour towards event attendees, speakers and Wildscreen staff
    • Photography of an inappropriate nature
    • Unwelcome sexual attention or physical contact that is inappropriate
    • Misuse of alcohol or recreational drugs

Reporting process

Attendees who wish to report any violation of the Code of Conduct should speak, in confidence, to a member of the Wildscreen Team, or you can contact Wildscreen via email at: [email protected] or [email protected]. 

In the event of a breach of the Code of Conduct

Attendees asked to stop any inappropriate behaviour are expected to comply immediately. Anyone violating these rules may be asked to leave the event at the sole discretion of Wildscreen without a refund and/or removed from a virtual event.

Legal action may be considered if a criminal offence is suspected and, if appropriate, the matter may be reported to the Police or other relevant authorities.

Unauthorised Events

For over 40 years Wildscreen has been convening the natural world storytelling industry through major events including the Wildscreen Festival, the Wildscreen Industry Summit, Panda Awards Ceremony, WildPhotos and its year-round programme of events in the UK, internationally and online. We work hard to create these events for and with our community and partners, to share knowledge, skills and access, to celebrate creative endeavors, to network and connect. We create these events to support our charitable mission to connect people with nature through storytelling and to democratize the creation of and access to nature’s stories.

Official Events

All Wildscreen’s official events are published officially via our event programmes on our website and events platform(s). These events have been created by Wildscreen, sometimes in partnership with sponsors and partners, and are open to all delegates (though some may require prior registration or are on a first come first served basis).

Authorised events

These events have been approved by Wildscreen but are run by partners, who may implement an invite-only policy for which they are solely responsible. Wildscreen’s policies do not extend to these events.

Unofficial events

These are events that are not part of the Wildscreen programme and have not been approved by us. These events, particularly those scheduled against existing Wildscreen events, will negatively impact future ticket costs and our ability to keep our events as accessible as possible.

Additionally any use of the name of Wildscreen, its events and our trademarks by an unofficial event or brand is an infringement of copyright and will be treated as such. If you are unsure of a status of an event you are planning or have been invited to, please contact us via [email protected] for clarification.

Attending Without a Ticket

The Wildscreen team works hard alongside our partners, sponsors and community to create events that are impactful, accessible and safe for all our delegates.

Unauthorised entry our events is not only unfair on delegates who have purchased passes it also compromises the health and safety of the event. Unauthorised access will also negatively impact future ticket costs and our ability to keep our events as accessible as possible.

Any person seeking to gain or provide entry to a Wildscreen event without a valid ticket will be considered to be a trespasser and will be denied entry to or ejected from the venue and liable to legal action.

Tickets cannot be resold or used by any other person. If we have reason to believe that tickets have been re-sold, or shared they will be invalidated, and the holder will be refused admission.

Wildscreen reserves the right to revoke passes due to any unauthorised use or breach of our Event Code of Conduct.

Complaints Policy

Wildscreen is committed to maintaining high standards of integrity, professionalism, and accountability in all aspects of its work.

If you have a concern or complaint regarding an issue related to Wildscreen’s services, events, staff, volunteers, or operations please report it as soon as possible by emailing [email protected] and outlining in as much detail as possible:

· The nature of the concern or complaint

· Relevant dates, locations, and individuals involved

· Any supporting evidence

· Preferred outcome (if applicable)

Alternatively, you can make a complaint by post by sharing the details outlined above in a letter and sending it to Wildscreen’s registered office (1.1 Temple Studios, Temple Gate, Bristol, BS1 6QA) clearly marked ‘Governance Complaint’ where it will be escalated to the Wildscreen Board.

We aim to acknowledge all complaints within 2 working days of receipt.

For complaints raised about serious breaches at events, Wildscreen reserves the right to take immediate action, including removal from an event and, where necessary, referral to authorities.

Wildscreen is committed to ensuring that children and young people feel safe and empowered to raise concerns. Where necessary, Wildscreen will provide additional support to help young people articulate their concerns.
